What we keep about you, why, and for how long. Without a legal smokescreen.
Last updated: 2 September 2026
What we collect
Only what is needed to deliver your order. Nothing more.
- Name, email address and delivery address: to deliver and to keep you informed
- Phone number, if you enter it: only passed on to the carrier in case of a delivery problem
- What you ordered and what you paid: required for our accounts
- An anonymous cart key in a cookie: purely technical, without a name or profile
- Anonymous visitor statistics without cookies: which pages are viewed and which site you came from; your IP address is not stored and a Do Not Track setting is respected
- What you write to GEM yourself: only to answer your chat question; do not share payment details or other sensitive information there
What we do NOT do
- We do not see or store your payment details. Payment takes place on a secure page of our payment service provider.
- We do not sell your data and do not share it with advertisers.
- We do not place tracking cookies and do not follow you across other websites.
- We do not email you offers unless you have asked for them yourself.
- GEM does not build an advertising profile. The conversation stays in your own browser's session storage and disappears when that browser session ends.
Who we DO share it with
- The carrier, to deliver your parcel: name, address and, if given, your phone number.
- Our payment service provider, to process the payment.
- Our AI processor, only for the text of a GEM question: first our own Mac mini; if that is unreachable, a configured fallback from Google Gemini or Groq may process the answer.
- The Dutch Tax and Customs Administration (Belastingdienst), insofar as the law requires us to keep records.
How long we keep it
We keep order data for seven years. That is not our choice: the Dutch Tax and Customs Administration requires it. A cart that is not checked out disappears by itself.
GEM does not keep the conversation as a customer file. Your browser only holds the text for the current session, so you can close and reopen the panel. To prevent abuse, the server temporarily counts the number of chat requests per IP address; that counter disappears automatically after five minutes and is not linked to an order.
Your rights
You may ask which data we hold about you, have it corrected, or have it deleted insofar as we are not legally required to keep it. One email is enough; we respond within 30 days.
If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
The site runs entirely over an encrypted connection. Administrator passwords are stored encrypted and cannot be reversed. Access to order data is limited to those who need it.
